You are an agency
You represent artists and handle their bookings.
Everything about booking an artist on DJMetry in plain words: from the first request to the show day.
Pick your role and follow five short steps.
You represent artists and handle their bookings.
You perform and want your bookings in one place.
You organize an event and want to book an artist.
Getting started
Three sides work together on one request. Everyone sees the same data.
"Which rider is the current one?" You won't hear that question again. Date, budget, documents, tickets and money live in one request, and all three sides see the same thing.
A date is no longer promised to two people. Holds stand in a queue, with a deadline and a number, and everyone knows their place in line.
Nobody has to text "where are you?" On the show day you can see it: on the way, hotel, venue, played.
And nobody can call themselves your agent: until the artist confirms the link, there is no link.
A request is the main object. It holds the date, the place, the conditions, the documents and the history of every change.
A hold is a temporary reservation of a date before the deal is final. When a hold is confirmed, it becomes a request.
Only an agency can add an artist, and it can work with the artist only after the artist confirms the link. This protects artists from fake agents.
Create a booking company, get a code and have your artist confirm it: the whole route, screen by screen.
Before you start. A verified artist account cannot create a company, so register with a separate account, for example a manager's. The account must have an email: booking requests and a copy of the code go there. Agree with the artist in advance: a company with no confirmed artist is turned off 6 days after it is created.
Sign in and open Dashboard → Booking → My companies, then press Create agency.
Required: company name, description in at least one language (up to 300 characters), website (no website? paste a link to a public page), country and city from the list, logo or photo, and both consents. Instagram, Facebook, Twitter and YouTube are optional. Then press Create agency.
The code opens right after the company is created. Press Copy and send it to the artist in a private message. A copy also goes to your email.
Until the artist confirms, your company card shows a yellow notice, and you can generate a code there. A new code cancels the previous one and gives the company more time. A code works once and for 6 days: if the artist does not confirm in that time, the company is turned off.
Sign in to the verified artist account and open Dashboard → Booking → Artist booking → Companies. The Confirm company by code form is at the top. It is hidden if you already have a confirmed agency: Unlink it first.
Paste the code and press Check: the company name appears. If this is the agency that represents you, press Confirm. The code is now used up.
The company then goes to moderation. After approval it gets the Verified mark and appears in the catalog. If it was approved earlier, the link works right away.
Only the owner can do this. Open the company page, go to Add artist, generate a code and send it to the next artist. One code is for one artist, who confirms it as in steps 5 and 6.
If something goes wrong
An agency profile is a public page in the booking catalog.
In the agency you can add managers and assign them regions, set default taxes and edit the profile. Changes to the profile go through moderation again. Only the owner sets a manager's regions; a manager without regions sees all requests.
If the agency is blocked by moderation or deleted, it is frozen: requests and holds can be read, but not changed, and the artists' calendars are hidden. Holds keep their places in the queue. When the agency is restored, everything works again. While it is frozen, hold deadlines are paused; when it is restored, they are extended by the length of the pause. Clients get a notification both times.
Unlinking. The artist can unlink an agency in Dashboard → Booking → Companies. Before that, the artist sees the agency's confirmed shows that are still ahead: they stay with the artist, and the artist keeps running them. The agency's other requests become read-only, its holds on the artist's dates are released and clients get a notification.
Moving to another agency. To accept an invitation or a code from another agency, unlink the current one first. The code is not used up by the refusal, so the same code works after unlinking. If the agency is blocked, turned off or deleted, it is marked Agency unavailable in the artist's list and can only be unlinked.
An artist left the agency. In the agency's requests such an artist is marked Not in the agency. A request that is not accepted yet can then only be declined. Shows that were already accepted stay with the artist.
An artist always approves the link to an agency, and an artist can have only one confirmed agency. Nobody can add an artist without their consent.
An agency that books artists in several countries needs no separate page, account or inbox per country. Clients everywhere use the same agency link, and each request lands with the manager who handles that country. The owner sees the whole picture, and every manager works only on their own markets.
Profile country in Settings does not affect which requests a manager sees: only the regions the owner set.
The agency agreement is the long-term contract on representation between an agency and an artist, not the contract of a request. Only the agency owner and the artist see it. DJMetry keeps its terms, versions and reminders; it does not sign agreements and does not replace a lawyer.
The owner finds agreements in the agency cabinet under Agreements with artists, the artist under Agency. The list shows each agreement with its status and a summary of agreements ending in the next 90 days. Managers and clients do not see agreements.
On the agreement card: Renew, Edit, Terminate and History.
New version. Either side presses Edit, changes the fields, writes what was changed and presses Send for approval. The other side sees only the changed fields, old → new, and answers Accept, Counter-offer or Decline. Until the new version is accepted, the previous one stays in force.
Reminders. 90, 30 and 7 days before the end and on the last day, both sides get a reminder with Renew and Do not renew. When an agreement expires, you see a gentle warning; nothing is blocked.
History. Every version is kept: what changed, old → new, who, when and the comment, including accepted and declined versions and counter-offers.
DJMetry does not sign agreements and does not replace a lawyer. The agreement itself is signed by the parties, for example through a signing service.
With auto-renewal, the agreement renews automatically on the end date for the agreed number of months, unless one side opts out in time.
Either side can terminate the agreement today or from a future date, with a reason if they like.
The agency page shows how the agency has handled requests over the last year.
The numbers are counted automatically from real requests. Requests created from confirmed holds are not counted.
If the agency had fewer than five requests in a year, you see Not enough data yet. It says nothing bad about the agency: it is simply new.
Requests
Open the agency page and press "Make request". The form takes about a minute.
Required fields are marked with an asterisk (*). If the budget is lower than the artist usually accepts, you will see a warning, but you can still send the request.
After sending, the request appears in My requests with the status New. The agency gets a notification and answers you there.
If the artist is not free on your date, you can still send the request or ask us to tell you when the date frees up.
When you are signed in and pick a date in the request form, we check it right away. If the artist already has a booking or a personal date on that day, you see a yellow bar with the Notify me button. Without signing in you see this right after sending the request.
All dates you are waiting for are listed in My requests → Waiting for a date. Press Stop notifying to remove one.
You can watch up to 30 dates at once. We never show why the artist is busy: the artist's schedule stays private.
Every request moves through the same stages. The current stage is shown at the top of the request card.
Payment can also be partially paid. The payment status is shown next to the main status.
When the artist has played, the agency has declined or the client has cancelled, the deal is closed: its documents can only be viewed.
Invite colleagues to a request, so you do not have to forward emails.
Open the request and find the Request participants block. Enter a colleague's email and press "Add".
After the show, participants can still be added — for example an accountant for closing documents. In a declined or cancelled request, they cannot.
If the booking is not possible, the agency declines the request and says why.
The agency can add a short note for the client. The client sees the reason in the request and gets a notification.
When the agency declines a request, it can offer up to three other dates.
Only one date can be chosen. The agency and the artist get a notification about the choice.
Dates and holds
One calendar shows concerts, requests, holds and personal dates of an artist.
To mark a personal date over several days, select the first day, then hold Shift and select the last day.
Subscribe in Google or Apple Calendar. Press "Export .ics" and copy the link. In Google Calendar choose "Other calendars → From URL"; on iPhone open Settings → Calendar → Accounts → Add Account → Other → Add Subscribed Calendar. Paste the link. Busy dates will update on their own.
External calendar. Press "Import .ics" and paste a link to an .ics file. These days are marked as busy (shown as "external calendar" in the legend) and cannot be edited here. If the calendar shares only free and busy time, such days show as Busy in the connected calendar.
Views. Month and Year; on a phone there is also Week. The year shows 12 months, from one year back to two years ahead; tap a month to open it. In a month, each day shows the photos of the artists playing (up to three) and coloured dots by type; in the year, the day shows the main photo with the type colour as a ring.
Filters and summary. Filter by type, country, city and Shared (shows played together with other artists). Above the grid you see the number of shows, holds waiting and free days for the period. Filters are remembered for each calendar.
Agency calendar. The photo chips switch between All artists and one or several artists. Blocking a date, holding a date and .ics export or import need exactly one artist. Together with on an event lists the other artists of the line-up.
The subscription link is personal. The artist sees everything; a manager sees the details of their own agency or region and "Busy" for the rest. Do not share it. If it leaks, press "Revoke and create a new one": only your old link stops working.
A hold reserves a date for a while, before the deal is final. Several holds on one date form a queue.
Only the agency can hold a date. In the calendar, choose a day and press Hold. Enter the organizer, the country and the city from the list, and, if you know them, the venue capacity and the client email.
Under each hold there are three buttons: Move, Edit and Release.
Under the hold you also see a short history: who changed what and when.
Only the agency that created a hold can move, edit or release it. A confirmed hold already has a request, so it cannot be moved or edited.
A hold can carry the event details, so a confirmed booking does not have to be typed again.
When the hold is confirmed, the type, the time and the budget go into the new request. The note stays on the hold: the client and the artist can read the request, so internal notes never get there.
If emails to the client email do not arrive (the address bounced or the client marked them as spam), the hold shows a red warning. Fix the address with Edit, otherwise the client gets no emails about the hold.
Holds of other agencies, and holds outside your regions if you are a regional manager, are shown as Busy: you see the place in the queue and the status, but not the client, the place or the budget.
The artist sees every hold on their calendar and can Decline one, with an optional reason. The agency and the client get a notification. A declined hold cannot be brought back.
A regional manager can hold dates only in the countries of their regions, so the country is required.
We warn you before a date is booked twice, but we do not forbid it.
If the artist already has a booking or a personal date on that day, the window The date is already taken opens when you accept a request, change its date, or confirm, move or restore a hold. It says what is in the way, for example "already booked (request #12)", "the artist has a personal date on this day" or "busy in the artist's own calendar" (an event from a connected calendar).
A date that is already confirmed by another hold cannot be taken this way. Release or move one of them first.
In a request, the agency and the artist see what the artist already has nearby around that date.
The On the route block lists the artist's concerts and bookings within about 600 km and two days of the event date: the date, the city, the distance and how many days apart.
If the artist is nearby, the block says Fits the route: the trip is shorter and cheaper, and the deal is easier to agree.
The client does not see this block. Bookings of other agencies appear only when you are allowed to see them. Prices are never shown.
Rider and contract
The rider lists what the artist needs. The press kit has photos and texts for promotion.
Press PDF to download any version.
Deal terms are the agreed conditions of a show, and contract details are the legal details of both sides for a future contract. DJMetry keeps them in the request so everyone works from one version. It does not process payments and does not replace a lawyer.
Negotiations go by email, but what has been agreed is kept in the request: the agency fills in the deal terms and sends them to the client, and the client agrees. Both sides add their legal details for the contract.
Agency details. In the agency cabinet, the owner fills in the Contract details: legal name, registration and tax number, address, representative, position, basis of authority, email and phone for contracts, and bank details (recipient, IBAN or account, SWIFT, bank). The client sees them only after the request is accepted. The artist never sees them.
Client details. After Accepted, the client is asked to fill in the contract details. Choose Company, Sole trader or Private person. A company or a sole trader enters the name, the numbers, the address, the representative, the position, the basis of authority and a phone; a private person enters the full name, the country and the address. ID document numbers are not collected. Save to profile keeps the details for the next requests. The client's bank details are not asked.
Agreement. The client sees a summary and presses I agree. The request then shows Agreed with the date and the name. If the agency changes the terms after that, the agreement is reset and the client is asked again. A draft is seen only by the agency.
DJMetry does not process payments and does not replace a lawyer. The deal terms record what was agreed; the contract itself is signed by the parties, for example through a signing service (see Contract).
The agency's legal details for contracts with clients: legal name, registration and tax numbers, address, who signs, contacts and bank. The owner fills them in under Contract details; managers can only view them.
After the request is accepted, the client fills in the details for the contract: as a company, a sole trader or a private person.
DJMetry does not sign contracts and does not keep signatures in place of a signing service. The agency attaches the contract to the request as a link to a signing service or as a PDF and marks its status by hand.
Negotiations go by email. When the contract is ready, the agency adds it to the request next to the rider and the press kit: a link to an online signing service (DocuSign, Dropbox Sign, PandaDoc, Adobe Sign and others) or a PDF file. The agency, the client with the request participants and the artists of the request see it.
The status is set by hand. DJMetry does not check signatures: the agency sets the status to match what it sees in the signing service.
Client. The client and the request participants can open the contract. After signing, the client can press I've signed, and the agency gets a notification. This is only a mark: the Signed status is set by the agency.
Artist. The artists of the request see the contract and its status.
A link opens in the browser, a PDF can be viewed or downloaded. The request card shows the contract status. When the contract is signed, the Payment block suggests marking the deposit. Nothing is blocked.
The agency owner and managers add contract versions and change the status (a manager in their own regions), as with the rider and request statuses.
The agency sends a link to a signing service (DocuSign, Dropbox Sign, PandaDoc, Adobe Sign and others) or a PDF. The parties sign in that service; DJMetry only shows the status.
Payment and taxes
DJMetry does not take or process payments: the client pays the agency directly. When the money arrives, the agency presses Mark as paid in the request; the amount, the currency and the deposit percent go in Payment → Edit.
The client pays the agency outside DJMetry: under a contract, an invoice or a bank transfer. DJMetry only keeps the record, so the agency and the artist see the same numbers.
What the artist sees. The payment status and their own share. The amount after tax is calculated by the server, so the agency and the artist always see the same figure.
What the client sees. The client does not see the fees, the artists' shares or the taxes.
After the show. Once the request is Artist finished performance, taxes can be corrected only with a reason. Every change is in the Finance history (in the app: Payment history): what changed, the old and the new value, who changed it, when and why.
Only the agency owner can mark payment. Managers see it but cannot change it.
The agency keeps the money side of a request: payment, fees and taxes. Every change is logged.
In the request the agency sets the payment status (unpaid, partially paid, paid), the amount, the currency and the percent, the agency fee and the artist fee. In a request with several artists, each artist has their own fee and tax.
Default rates. A new request takes the artist's tax from the agency's rate for this artist; if there is none, from the artist's profile; if there is none either, from the agency's general rate for artists. The Artist calculates own tax mode comes from the agency settings.
Finance history. Under the payment block, open Finance history: every change of fees, taxes and payment with the old and new value, who changed it and when. The artist sees the changes of the whole request and of their own fee and tax.
Corrections after the show. After Artist finished performance the rates are locked. If a tax was wrong, the agency owner presses Correct tax and must give a reason (3 to 500 characters). The change goes into the history marked Corrected after the show, with the reason.
Only the agency owner changes payment and taxes. Managers see them but cannot edit.
Every change to the payment, the fees and the taxes of a request is recorded: what changed, the old and the new value, who changed it and when.
After Artist finished performance the rates are locked. If a tax was wrong, only the agency owner can correct it, and only with a reason.
Trip and show day
The artist's tickets and hotel bookings are kept right in the request. The artist always has the current file, and whoever uploaded it sees that the artist got it.
Why you need it. Tickets get lost in chats and email threads, and nobody knows which version is current or whether the artist has seen it.
Notifications. The artist is notified of the first file at once. Files uploaded within the next 10 minutes arrive as one summary. If the client uploaded the file, the agency is notified too. When the artist presses Got it, the side that uploaded the document is told. Notifications contain no trip details.
Where to see the status. The Tickets and hotel tile at the top of the request shows how many documents the artist has received and the departure time. In the app, this is the Tickets and hotels line in the request window, with the status on the right. When the deal is closed (the artist has played, the agency has declined or the client has cancelled), documents can only be viewed.
There are no reminders about missing tickets, because the artist may be travelling by car. An empty block is not an error.
Tickets contain personal data, so location and device data are removed from photos, and the file is deleted 90 days after the show (if the request has no date, 90 days after the upload). Replaced and withdrawn files are deleted too. The record stays, so download the file in time if you need it for your accounts.
On the day of the event everyone sees where the artist is right now: on the way, at the hotel, at the venue or done.
The status never changes by itself. Played is pressed only by the agency or the artist, and not before the day of the show: taxes and payouts depend on it. If the artist forgets, the client simply stops seeing the live progress, and the status stays as it was.
Step history. Each step shows who marked it and when, in the venue's time zone.
In Show contacts the agency can add up to 3 contacts: tour manager, promoter, venue or other. The artist and the client see them right away, with the Call and Message buttons.
Notifications
Important events come as a push notification in the app and as an email.
You can turn push notifications on or off in your phone settings.
Choose what reaches you and when.
In Settings → Notifications, under Booking, there are two separate switches. They work for notifications on the site and for push.
Quiet hours hold back reminder pushes at night, by default from 22:00 to 08:00. They arrive when the quiet hours end. You can change the time and the time zone, or turn quiet hours off.
Urgent booking updates, the bell on the site and emails always arrive at once. Emails cannot be switched off by type.
There is no fixed time. Most agencies answer within a few days. You see every change in My requests.
Write to the agency in the request remarks or ask them to change the details. The agency updates the request.
Cities come from a list so that the place is always spelled the same way and the map and the calendar work correctly. If your city is missing, choose the nearest one and write the details in the request.
After 14 days the hold ends by itself. The next hold in the queue becomes first.
The date was taken by another booking, or the artist marked this day as a personal date. Holds on these dates will be released, their agencies and clients will be notified. The holds come back on their own when the personal date is removed. When the date frees up, the hold comes back to its place on its own and you get a notification. If the agency no longer represents the artist, the hold cannot be brought back.
Bring it back with the Undo button or from the history. The hold comes back to the same place in the queue. The client is notified unless the hold is brought back within 10 minutes.
Only the agency, the artist and the client of that request, plus the request participants.
The link is personal and shows only what you are allowed to see. Do not share it. Creating a new link turns off only your old one.
Yes. When the date is already taken, we warn you and ask you to confirm. Press "Continue anyway" only if the second event is planned on purpose.
Send the request anyway, or press "Notify me" and we will write once if the date frees up. The agency may also offer other dates.
Quiet hours are on. Reminder pushes wait until the morning; urgent updates and emails arrive at once. You can change this in Settings → Notifications.
Yes. The agency owner opens the request, presses "Correct tax" and enters a reason. Everyone on the request sees the change and the reason in the finance history.
Confirmed shows that are still ahead stay with you, and you keep running them. You see their list before you confirm. The agency's other requests become read-only.
One of the request's artists is no longer in the agency. Such a request can only be declined; the client can send a new one to the artist's current agency.
The file contains personal data and a booking number, so only the artist and the agency see it. The client sees whether the artist has received the document.
No, documents are uploaded by the agency or the client. If the artist bought the ticket themselves, they can send it to the agency to add to the request.
The status stays at Waiting for the artist, and there are no repeat reminders. Contact the artist directly and ask them to open the request.
